| Tab | What it holds |
|---|---|
| **User Profile** | Your name, profile image and password |
| **Holiday** | Your holiday balance, time off requests and absences |
| **Approvals** | Time off requests waiting for your decision. Only shown to administrators and line managers |
| **Security** | Two-factor authentication |
| **Connected Apps** | The apps you have allowed to use your account |
| **Documents** | Your recent exports, ready to download |

**Holiday** and **Approvals** are covered in [Holidays and absences](https://help.clockworkcrm.com/general/holidays).

## User Profile

![The User Profile tab: personal details and password](https://clockworkcrm.blob.core.windows.net/public-internal/docs/general/my-profile.png?v=2525382a)

**Personal Details** holds the name and picture shown beside you throughout Clockwork CRM.

| Field | What it does |
|---|---|
| **First Name** | Your first name. Required, up to 100 characters |
| **Last Name** | Your last name. Required, up to 100 characters |
| **Profile Image** | Your picture. Select it to choose an image from the file browser. The recommended size is 256px by 256px |

The profile image can be any image file or an SVG, up to 5MB. It is not saved until you select
**Save**.

### Changing your password

**Password** changes the password you sign in with. Leave all three fields blank to keep your current
password.

| Field | What it does |
|---|---|
| **Current Password** | The password you use now |
| **New Password** | The password you want to use |
| **Confirm New Password** | The new password again. It must match **New Password** |

A new password must:

- be between 8 and 100 characters long
- contain an uppercase letter, a lowercase letter, a number and a special character

To change your password:

1. Enter your **Current Password**.
2. Enter the new password in **New Password** and **Confirm New Password**.
3. Select **Save**.

If the current password is wrong, nothing on the page is saved, including any name or image change.

**Save** is unavailable while a required field is empty or the password fields are incomplete.

## Security

**Security** turns two-factor authentication on or off. With it on, you enter a code from an
authenticator app on your phone, as well as your password, each time you sign in.

![The Security tab](https://clockworkcrm.blob.core.windows.net/public-internal/docs/general/profile-security.png?v=281574c2)

To turn it on:

1. Select **Enable Two Factor Authentication**, then confirm.
2. Scan the QR code with an authenticator app, such as Microsoft Authenticator or Google
Authenticator. If you cannot scan it, enter the text code shown under the QR code instead.
3. Enter the 6-character code the app shows, then select **Verify**.
4. Clockwork CRM shows your recovery code. Select **Copy recovery code to clipboard** and keep it
somewhere safe, such as a password manager.
5. Select **Ok, done let's go!**

The recovery code is the only way into your account if you lose your authentication device. When you
sign in, select **You can enter your recovery code in case you lost access to your mobile device.**,
enter the code in **Recovery Code** and select **Recover**.

To turn it off:

1. Select **Remove Two Factor Authentication**.
2. Enter the current code from your authenticator app, or your recovery code, in **Authenticator or
   recovery code**.
3. Select **Remove Two Factor Authentication**.

You cannot turn it off while an administrator requires it for your account. After five incorrect
codes, you must wait 5 minutes before trying again.

An administrator can require two-factor authentication for your account. While it is required and not
set up, Clockwork CRM shows the set-up steps on every page until you complete them. See
[Users](https://help.clockworkcrm.com/admin/users#password-and-security).

## Connected Apps

**Connected Apps** lists the applications you have allowed to use your Clockwork CRM account, such as
the [Voyager browser extension](https://help.clockworkcrm.com/contacts/voyager) or an [AI assistant](https://help.clockworkcrm.com/general/ai-assistants). An
app appears here after you sign in to it with your Clockwork CRM account and approve its access.

Each app shows:

| Detail | What it means |
|---|---|
| Name | The name the app gave itself when it connected |
| **Authorised** | When you approved the app |
| **Expires** | When the app's current access runs out. The app renews it in the background while you keep using it |
| Permissions | One chip for each permission you approved, such as reading contacts |

The newest app is listed first.

**Revoke** signs the app out straight away, after you confirm. The app is removed from the list and
has to be authorised again to reconnect.

## Documents

**Documents** lists your last 50 exports, such as a contact search exported to CSV. Only you can see
and download your exports.

Each export shows its file name, when it was requested, when it completed, and its status:

| Status | What it means |
|---|---|
| **Queued** | Waiting to be made |
| **Processing** | Being made |
| **Ready** | Can be downloaded |
| **Failed** | Could not be made. Hover over the warning icon to see why |
| **Expired** | No longer available to download |

The status updates while the page is open. **Download** appears beside each export that is
**Ready**. Exports can be downloaded for 24 hours after they are requested.
