Sender and tracking domains

Only administrators can manage sender and tracking domains.

Open in Clockwork CRMEnter your Clockwork CRM address at the top of the page to open this in your Clockwork CRM.

Sender domains

Found under Administrator Tools → Sender Domains: a sender domain is a domain you've given Clockwork CRM permission to send emails from. Used in things like Automations, Bulk Email Shots and Marketing Sequences.

We include a sender domain by default that's associated to your subdomain, so you don't need to set it up to get started with sending emails.

The sender domain list

Each domain is listed with its Name, Status, Last Modified date, Last Modified By and Created By. Search for domains... filters the list.

Status What it means
Pending Waiting for you to add the DNS records and verify the domain
Verified The domain is verified. You can send email from it
Rejected The domain was not verified in time

Adding a sender domain

Adding DNS records needs access to your domain's DNS settings. If you do not manage the domain, pass these steps to whoever does.

  1. Select Add Sender Domain.
  2. Enter the Domain Name. This is the root domain, such as clockworkcrm.com, without "https://".
  3. Select Next. Clockwork CRM shows the CNAME records to add to the domain's DNS. Each record has a Record Name and a Record Value, with a button to copy each one.
  4. Add the records at your DNS provider. You have 72 hours to add them.
  5. Select Verify. When the records are found, the status changes to Verified. If they are not found yet, it stays Pending, and you can verify again later.

To see the records again, open the actions on the domain's row and select View Verification Information. For a pending domain, this also has the Verify button.

A domain that was not verified in time is Rejected. To try again, add it again.

Sender addresses

A sender address is an email address on one of your sender domains, such as support@clockworkcrm.com. You'll be adding the individual addresses e.g. support in this case. To see a domain's addresses, double-click its row, or open the actions on its row and select Manage Addresses.

Sender Addresses lists each address with its Name, Address, Last Modified date, Last Modified By and Created By. Search for addresses... filters the list.

Select Add Sender Address to add one.

Field What it does
Name The name recipients see the email come from, such as "Jane Smith". 2 to 80 characters. Required
Address The part of the address before the @, such as "jane.smith". Use lower-case letters, numbers and . _ % + - only. The domain is added for you. Required
Reply-to name The name shown with the reply-to address, such as "Support Team". Up to 80 characters. Optional
Reply-to address Where replies to emails from this address go. Leave it blank and replies go to the sending address. Optional
Signature Content (Html) The signature added to emails sent from this address, as HTML
Signature Content (Rich Text) The same signature in a text editor. A change in either box changes the other

Select Save to save the address, or Cancel to go back to the list.

To edit an address, double-click its row, or open the actions on its row and select Edit. To delete one, open the actions on its row and select Delete, then confirm. To delete several, tick them and select Bulk Delete.

Attaching a tracking domain

By default, the open and click tracking links in a sender domain's emails use a shared Clockwork CRM host. To use your own tracking domain instead:

  1. Open the actions on a verified sender domain's row and select Tracking Domain.
  2. Choose a verified tracking domain under Tracking domain, or Use the shared platform domain to go back to the shared host.
  3. Select Save.

Tracking Domain is not offered for a domain that is not verified, or for the system default domain.

Deleting a sender domain

Open the actions on the domain's row and select Delete, then confirm. To delete several, tick them and select Bulk Delete.

Tracking domains

A tracking domain is a host of your own, such as metrics.yourdomain.com, used for email open and click tracking and for website analytics, so tracked links and beacons carry your brand. Administrator Tools → Tracking Domains lists them.

Each tracking domain is listed with its Host, its Status, Verified or Not verified, when it was last checked, and the CNAME target its DNS record must point to. Search tracking domains... filters the list.

Adding a tracking domain

  1. Select Add Tracking Domain.
  2. Enter the Tracking domain host, such as metrics.yourdomain.com. Enter the host only, without "http://", a path or spaces.
  3. Select Add.
  4. At your DNS provider, add a CNAME record for the host that points to the CNAME target shown in the list. The copy button copies it.
  5. Open the actions on the tracking domain's row and select Verify.

When the host points to the CNAME target, its status changes to Verified. If the host points somewhere else, it becomes Not verified. If the record cannot be found yet, the status stays as it was, and you can verify again later.

A verified tracking domain can be attached to sender domains and to analytics sites.

Deleting a tracking domain

Open the actions on the tracking domain's row and select Delete, then confirm. The tracking domain is removed from any sender domains and analytics sites it was attached to, and they go back to the shared host.
