Calendar settings and sharing
Calendar settings are your own. Changing them does not change anyone else's calendar.
Open in Clockwork CRMEnter your Clockwork CRM address at the top of the page to open this in your Clockwork CRM.
Settings
Settings in the Calendar app's top bar, or Calendar → Calendar Settings, holds your own calendar settings. It only appears if your team's permissions include it. See Teams and permissions.
| Setting | What it does | Starts as |
|---|---|---|
| Default Display Mode | The view the calendar opens on: Day, Work Week, Week or Month. Once you pick a view on the calendar itself, that browser remembers your choice instead | Week |
| Time Increment | The size of each time slot: 5 minutes, 10 minutes, 15 minutes, 30 minutes or 60 minutes | 30 minutes |
| Privacy Settings | How colleagues see your calendar. See Privacy | Only hide private entries |
| Show time tracker / Hide time tracker | Shows or hides the line that marks the current time across today | Shown |
Select Save to keep your changes. A message confirms Calendar settings have been saved!
Privacy
| Option | What colleagues see |
|---|---|
| Only hide private entries | All your entries except the ones marked private |
| Everything is private | Only entries that have other users on them, such as meetings with colleagues. Entries where you are the only user are hidden. Your absences still show, as Unavailable without the type of absence |
Whichever option you choose, an entry marked private is only shown to the users who are attendees on it.
Working hours
Your working days and hours come from your HR record, and the calendar shades your working time from it. They are changed by an administrator in user management. See Users.
Connecting a Microsoft or Google calendar
A Microsoft calendar or a Google calendar can be connected to Clockwork CRM. The connection works both ways: entries in that calendar appear in Clockwork CRM, and entries you add in Clockwork CRM appear in that calendar. Google calendar connection is in beta.
To connect a calendar:
- Open Settings in the Calendar app.
- Select Connect Microsoft Calendar or Connect Google Calendar.
- Sign in to your Microsoft or Google account and allow access to your calendar.
- You come back to the settings, and a message says Your calendar is now connected.
When you connect, your existing Clockwork CRM entries are copied to the connected calendar. Nobody is invited or emailed when this happens.
One calendar can be connected at a time. While one is connected, the other shows Disconnect your Microsoft calendar first. or Disconnect your Google calendar first.
Once connected, the card shows Connected as the account's email address and when it last synced, with Disconnect to remove it.
What changes when a calendar is connected
- Invitations to your entries are sent by the connected calendar rather than from your email account, and replies come back through it
- the Schedule... form offers Teams meeting for a Microsoft calendar, or Meet meeting for a Google calendar, which creates an online meeting and adds its join link to the entry
- you can respond to meeting invitations that came from the connected calendar, even without an email account
See Using the calendar.
Reconnecting
If the connection expires, the card shows Reconnect Microsoft Calendar or Reconnect Google Calendar. Click it to sign in again and resume syncing, or select Disconnect to remove the connection.
Disconnecting
- Select Disconnect.
- Confirm. A message says your calendar has been disconnected.
The calendar stops syncing, and invitations, responses and online meetings no longer go through that account. Entries already synced stay where they are.
Sharing
Share in the top bar, or Calendar → Share Settings, shares your calendar as an ICS link. Other calendar applications can subscribe to the link to show your Clockwork CRM calendar. Share only appears if your team's permissions include it.
To share your calendar:
- Open Share and turn on Enable calendar sharing.
- Confirm. Sharing mode and two Sharing links appear.
- Choose the Sharing mode.
- Select Copy to clipboard beside a link and add the link to the other calendar application.
| Sharing mode | What the link shows for each entry |
|---|---|
| Restricted | That you are busy at that time, without any details. This is the mode sharing starts in |
| Minimal | The title, description, date and time |
| All | All the details of the entry |
The sharing mode applies to both links, and is saved as soon as you change it. The link includes your entries from one month ago to one year ahead.
There are two links so you can give them to different people and replace one without affecting the other. Refresh link beside a link replaces it with a new one. Anyone subscribed with the old link can no longer see your calendar.
Turning off Enable calendar sharing stops both links working. If you turn sharing on again, the same links work again.
Your booking links
My Booking Links, under Share, lists the booking links customers use to book you. It only appears when at least one booking link books you. A link that is not live yet shows (not yet published) after its name.
| Button | What it copies |
|---|---|
| Copy link | The address of the booking page |
| Copy embed code | Code to show the booking page on a website |
Booking links are managed by administrators. See Booking links.
