Subscription information
Administrator Tools → Subscription Information shows your Clockwork CRM subscription and is where you manage billing. It is also in the administration portal's top bar as My Subscription. Only administrators can open it.
The page is split into sections. Quick Links on the left jumps to each one.
Open in Clockwork CRMEnter your Clockwork CRM address at the top of the page to open this in your Clockwork CRM.
Billing information
Billing Information shows the state of your subscription at the top:
- whether it is active, and your next billing date
- how long is left of a free trial
- whether it is being cancelled, and the date access ends
- whether it is suspended, and the date it will be deleted
- a warning when there is no valid payment method
Below that are:
| Item | What it is |
|---|---|
| Last bill date and Next bill date | When you were last billed and when you will be billed next |
| Price per user | The monthly price for each active user, excluding taxes |
| Monthly user price | The price per user multiplied by your user limit, excluding taxes |
| Price per 10GB over 100GB | The price for each extra 10GB of data storage over your plan's allowance: 100GB on Standard, 150GB on Business. On Business the label says 150GB |
| Monthly storage price | What you currently pay for extra storage |
| Automation action credits | The automation action credits you have left this billing period, out of your allowance |
| Email send credits | The email send credits you have left this billing period, out of your allowance |
The section also shows how much data your instance is using.
Credits refill to your allowance on each billing date. Hover over a credit count to see when it next refills. Any top-up credits you have bought are shown next to the count.
To change your subscription level, contact Clockwork CRM support at clockworkcrm.com/support.
Credits and boosters
Credits and Boosters is where you buy more automation action credits and email send credits. Purchases are charged to your default payment method. They are not available during a free trial, while the subscription is inactive, or without a default payment method, and are only available for subscriptions billed in GBP.
Credit boosters
A booster raises your monthly credit allowance. It refills with your billing cycle, like your plan credits. There are three tiers for each credit type:
| Tier | Automation action credits | Email send credits |
|---|---|---|
| Starter | +25,000 a month | +10,000 a month |
| Growth | +100,000 a month | +50,000 a month |
| Scale | +500,000 a month | +250,000 a month |
You can have one booster for each credit type.
- Activate starts a booster. You are charged a prorated amount for the rest of the billing period straight away, then the booster's price each month. The extra credits are added immediately.
- Switch to this tier moves an active booster to a different tier.
- Cancel booster removes it. Your allowance returns to your plan level straight away, and the unused part of the billing period is credited to your next invoice.
The tier you have shows Current plan.
Top-up packs
A top-up pack is a one-off purchase that adds credits straight away: 25,000 automation action credits or 10,000 email send credits. Buy top-up charges your default payment method immediately.
Top-up credits are used after your plan credits. They carry over from month to month and do not expire.
Auto top-up
Auto top-up buys a top-up pack automatically when your credits run out, so automations, sequences and campaigns keep running instead of pausing. Turn it on separately for Automation action credits and Email send credits. You are notified each time a pack is bought.
Maximum automatic purchases per billing period limits how many packs can be bought this way in one billing period, across both credit types. Once the limit is reached, auto top-up stops until your credits refill on your next billing date. The page shows how many automatic purchases have been made this period.
Account details
Account Details holds your company name, the account contact email address and telephone number, and whether Clockwork CRM may email you tips and marketing. This does not affect emails about your account. Update Account Information saves the changes.
Account details cannot be changed while an invoice is unpaid.
Access information
Access Information shows the web address your team uses to open Clockwork CRM, for example
yourcompany.clockworkcrm.com.
To change it, type a new name into Change Domain to. The name can use lowercase letters, numbers and hyphens, and cannot start or end with a hyphen. The page checks whether the name is available as you type. Change Domain asks you to confirm, then makes the change.
The new address works immediately. The old address stops working and becomes available for anyone else to use, so tell your team the new address.
The domain cannot be changed while an invoice is unpaid.
Active users
Active Users shows how many active users you are paying for, with a list of your users. It shows whether each user is an administrator and whether they are archived. Select a user to open their record.
Your subscription's user count changes when administrators add, delete or restore users in Users. To lower your monthly price, archive users who no longer need access. The section shows your current total user price.
Payment methods
Your Payment Methods lists the cards on your account, with each card's last four digits, expiry, name and address, and which card is the default. Your subscription, invoices and credit purchases are charged to the default card.
- Add new payment method opens a form for the cardholder's name and billing address and the card details. The new card becomes your default payment method. Your bank may ask you to confirm the card.
- Make Default makes a card the default.
- Remove Method removes a card. The default card cannot be removed, so make another card the default first.
Invoices
Your Invoices lists your invoices with their number, date, description, total and status.
- Download Invoice opens the invoice as a PDF.
- Pay invoice appears next to an unpaid invoice. It charges your default payment method.
Paying all outstanding invoices on a suspended subscription reactivates it.
Cancellation
Cancel Subscription cancels your subscription. You are asked to confirm twice.
- On a paid subscription, your team keeps access until your next billing date. After that, access is restricted. Administrators can still open Subscription Information, and other users are signed out.
- During a free trial, cancelling removes access immediately and deletes the instance and all of its data. This cannot be undone.
Once cancelled, the section shows the date access will be restricted, and the date the account will be deleted if it has been set. Clockwork CRM emails the account 14, 7, 3 and 1 days before deletion. On the deletion date, all of the instance's data is permanently removed.
Reactivate Subscription undoes a cancellation. Any time left on your current subscription is credited to you. A credit booster that ended with the old subscription is not restored, so add it again from Credits and Boosters.
You cannot cancel or reactivate while an invoice is unpaid. Pay outstanding invoices first.
