Email templates and merge fields

There are two kinds of email template. Both are used to send a bulk email shot, and both support merge fields.

Type Where Built with
Marketing templates Marketing → Marketing Templates The template editor, from blocks called modules
Email stencils Marketing → Email Stencils A rich text editor, like writing an email

Marketing templates

Marketing → Marketing Templates shows one card per template, with its name, its subject and a preview image. Hovering over the picture of the user on a card shows who last updated it and when. The search box filters the cards.

The marketing template gallery, one card per template

The ⋮ menu on each card has:

Action What it does
Preview Opens the finished email in a new tab
Create Campaign Starts a new bulk email shot with this template already chosen. See Bulk email shots
Copy Makes a copy of the template, named after the original with "Copy" and the date and time added
Edit Opens the template in the editor. Double-clicking the card does the same
Delete Deletes the template

Creating a marketing template

  1. Go to Marketing → Marketing Templates and select Add template.
  2. Choose From scratch for an empty template, or From a template to start from a ready-made design. From a template opens a gallery you can search and filter. Select a design to preview it, then Select to use it.
  3. Build the email in the editor.
  4. Select Save.

The template editor

The editor has a panel on the left and the email itself on the right. Clicking a part of the email selects it, and the panel shows what can be changed about it.

The marketing template editor: settings on the left, the email being built on the right

The panel has three tabs: Settings, Modules and Merge Fields. At the bottom of the panel:

Button What it does
Save Saves the template
Save & Preview Saves the template, then opens the finished email in a new tab

The bar above the email acts on the selected module:

Button What it does
Copy Adds a copy of the selected module. Columns cannot be copied
Delete Deletes the selected module

Right-clicking a module in the email opens the same Copy and Delete actions.

The Settings tab holds the settings for the whole email.

Merge Fields tab

The Merge Fields tab lists every merge field, in Company Merge Fields and Person Merge Fields, grouped by field. Hover over one to see its description. Clicking a merge field copies it, ready to paste into a text module or the subject. See Merge fields.

Sending a test email

Testing Your Email on the Settings tab sends the template to you before it goes to your recipients.

  1. In Send to..., enter the address to send to. Separate several addresses with commas.
  2. Under Contact, choose a person or company. The merge fields are filled in with that contact's details.
  3. Select Send Test Email.

A test email is sent from Clockwork CRM's own address, not from your sending address. Save the template first: the test uses the last saved version.

Email stencils

Marketing → Email Stencils holds emails written in a rich text editor rather than built from modules.

The Email Stencil List shows each stencil's Name, Subject, Last Modified, Last Modified By and Created By. The search box filters the list. To delete several stencils at once, tick them and select Bulk Delete.

The Actions menu on each stencil has Create Campaign, Copy, Edit and Delete. These work in the same way as for marketing templates.

Creating a stencil

  1. Go to Marketing → Email Stencils and select Add Stencil.
  2. Fill in the settings on the left.
  3. Write the email in the editor on the right.
  4. Select Save.

The Company, Person and Booking menus above the editor insert a merge field at the cursor. Hover over a merge field in the menu to see its description.

The signature is set against each sending address by an administrator. See Sender and tracking domains.

Merge fields

A merge field is a placeholder that is replaced with each contact's own details when the email is sent, such as $person_first_name$. One template then produces a personal email for every recipient.

Marketing → Merge Fields lists the merge fields available.
