LinkedIn with Voyager
Clockwork CRM Voyager is a browser extension for LinkedIn. It adds LinkedIn people and companies to Clockwork CRM, shows the matching Clockwork CRM record while you browse LinkedIn, and saves LinkedIn conversations against the person you had them with.
Voyager works in Google Chrome and Microsoft Edge, and in Mozilla Firefox 140 or later. You need a Clockwork CRM login and to be signed in to LinkedIn in the same browser.
| Browser | Get Voyager |
|---|---|
| Google Chrome | Chrome Web Store |
| Mozilla Firefox | Firefox Add-ons |
| Microsoft Edge | Edge Add-ons |
Setting it up
- Install Clockwork CRM Voyager from your browser's extension store, using the links above.
- Select the Voyager icon in the browser toolbar to open its window.
- Type your Clockwork CRM subdomain into the box. This is the part before
.clockworkcrm.comin your Clockwork CRM address. - Select Connect instance. A Clockwork CRM sign-in window opens. Sign in if you are asked to.
- Clockwork CRM shows the Authorise Clockwork CRM Voyager page, listing the permissions Voyager is asking for. Untick any you do not want to give, then select Authorise. Deny cancels the connection.
Permissions your role does not allow you to grant are listed under Requested but not grantable by you and are left out. If your role allows none of them, Authorise cannot be selected and you need an administrator to change your permissions. See Teams and permissions.
Voyager asks for these permissions:
| Permission | What Voyager uses it for |
|---|---|
| Read General Person Information and Write General Person Information | Finding, adding and updating people, and adding its LinkedIn fields to people |
| Read Person Notes and Write Person Notes | Showing a person's latest note, and saving LinkedIn messages against the person |
| Read Person Timeline | Reading a person's timeline. Voyager does not currently use it |
| Read General Company Information and Write General Company Information | Finding, adding and updating companies, linking people to them, and adding its LinkedIn fields to companies |
| Read Company Notes and Write Company Notes | Showing a company's latest note |
| Read Users | Showing the picture of a user chosen in a User custom property |
| Read Tags and Write Tags | Tagging the records it creates |
| Trigger Automations, Read Calendar Activities, Write Calendar Activities and Send Email (Uses Credits) | Letting automations that run when a contact is added do their work |
Once connected, Voyager is listed on the Connected Apps tab of your profile, where Revoke disconnects it. See Your profile.
The Voyager window
The toolbar window lists the Clockwork CRM instances you have connected, and holds Voyager's settings.
| Control | What it does |
|---|---|
| Instance row | One row for each connected subdomain. A green dot means it is connected, a red dot means you need to sign in again. The active instance is outlined |
| Use | Makes that instance the active one. Voyager adds and looks up records in the active instance only |
| Connect | Shown on an instance that is no longer connected. Opens the sign-in again |
| ✕ (Remove) | Removes the instance from Voyager. If it was the active instance, another connected instance becomes active |
| Subdomain box and Connect instance | Connects another instance |
| Sync on view | See Automatic syncing |
| Live sync messages | See Automatic syncing |
The first instance you connect becomes the active one. When the active instance has its own brand colours, the Voyager window and side panel use them. See Branding.
A connection stays signed in while you use it. After 30 days without use, the instance shows as disconnected and you need to select Connect to sign in again.
The Clockwork CRM card on LinkedIn
On a LinkedIn person page, company page or school page, Voyager adds a Clockwork CRM card below the top section of the page.
When the person or company is not in Clockwork CRM, the card says Not in your CRM and has an Add to Clockwork CRM button (Add company on a company page).
When they are already in Clockwork CRM, the card says In Clockwork CRM and shows:
| Item | What it shows |
|---|---|
| Name | The record's name, with the person's title in front of it. Selecting it opens the record in Clockwork CRM |
| Role | A person's job role, or a company's business type |
| Works at | The companies the person is linked to, each opening its company record |
| Contact details | For a person: Phone, Mobile, Work email, Work phone and Work mobile. For a company: Website, Phone, Email and Reg. number. Only fields with a value are shown |
| Custom properties | Each custom property with a value. Phone, email and web address properties are links, and User, Person and Company properties show the chosen record's picture |
| Tags | The record's tags, in their tag colours |
| Latest note | The date, title and first 160 characters of the newest note |
The button on a record that already exists is Re-sync, which updates the record from LinkedIn. While a request is running the button shows Saving…, then Added ✓ or Updated ✓.
Adding people and companies
- Open the person's or company's page on LinkedIn.
- Select Add to Clockwork CRM (or Add company) on the Clockwork CRM card.
Voyager first looks for an existing record (see How Voyager finds existing records). If it finds one, it updates that record. If not, it creates a new one.
For a person, Voyager saves:
| Clockwork CRM field | Value from LinkedIn |
|---|---|
| First name and surname | The person's name |
| Job role | Their current job title, or their LinkedIn headline when there is no current job |
| Photo | Their profile photo |
| The address of their LinkedIn profile | |
| LinkedIn Member URN | LinkedIn's permanent ID for the person |
| Works for | Each company they currently work for, with their job title there |
Each current employer is found or added as a company in the same way as adding a company, and the person is linked to it.
For a company, Voyager saves:
| Clockwork CRM field | Value from LinkedIn |
|---|---|
| Name | The company name |
| Website | The website on the company's LinkedIn page |
| Logo | The company logo |
| The address of the company's LinkedIn page | |
| LinkedIn Company URN | LinkedIn's permanent ID for the company |
People and companies that Voyager creates are tagged LinkedIn.
Re-sync on an existing person updates their first name, surname and job role, replaces their photo, fills in the LinkedIn Member URN and links them to their current employers. On an existing company it fills in the LinkedIn Company URN and replaces the logo. Other fields you have entered in Clockwork CRM are not changed.
Voyager cannot add a person or company when it cannot read their name from the page.
The LinkedIn fields
The first time Voyager adds or updates a record, it creates the custom properties it needs if they do not already exist, in a property group named General:
| Property | Type | API Name | Contact type |
|---|---|---|---|
| Url | person_linkedin_profile |
People | |
| LinkedIn Member URN | Text | linkedin_profile_urn |
People |
| Url | company_linkedin_profile |
Companies | |
| LinkedIn Company URN | Text | linkedin_company_urn |
Companies |
If you already have a property with "LinkedIn" in its name or API Name, Voyager uses that one for the LinkedIn address instead of creating a new one. See Custom properties.
How Voyager finds existing records
Voyager looks for an existing person in this order, and uses the first match:
- The LinkedIn Member URN property matches the person's LinkedIn ID.
- The LinkedIn property matches the address of their LinkedIn profile.
It looks for an existing company in this order:
- The LinkedIn Company URN property matches the company's LinkedIn ID.
- The LinkedIn property matches the address of the company's LinkedIn page.
- The Website matches the website on the company's LinkedIn page.
- The company Name matches exactly.
A person you added another way is matched when their LinkedIn property holds their LinkedIn profile address. Otherwise Voyager adds a new person, which you can merge with the existing one. See Finding and merging duplicates.
Logging conversations
Voyager saves the messages in a one-to-one LinkedIn conversation against the person you had it with. Group conversations are not saved, and show Group conversations aren't synced.
To log a conversation you have open:
- Open the conversation in LinkedIn messaging. Voyager adds a Clockwork CRM bar above the conversation and another below the message box, showing Conversation with and the person's name.
- Select Log to Clockwork CRM. The button shows Logging…, then Logged ✓.
To log a conversation from the person's profile page, without opening it: when Voyager has picked up at least two messages with that person, the Clockwork CRM card shows the number of messages captured and a Log conversation button.
Logging a conversation also adds the person to Clockwork CRM if they are not there yet, in the same way as Add to Clockwork CRM, or updates them if they are.
Each message is saved with its text, who sent it and when, and whether it was sent or received. Messages with no text are left out. Logging the same conversation again saves only the messages that were not saved before.
Where logged messages appear
- The LinkedIn tab of the person's record lists their messages. The tiles at the top count the Messages, those Sent and Received, and when the Last contact was. Search messages finds messages by their text, Both, Sent and Received choose which messages to show, and From and To limit the dates. When more than one user has logged conversations with the person, Synced by shows one user's messages or Everyone's, with the number of messages for each. It opens on your own conversation, or on the latest one if you have none. Load older messages fetches older ones.
- The person's Timeline shows each message as a LinkedIn entry.
- A company's Timeline shows the LinkedIn messages of the people linked to it. The LinkedIn tab on a company does not list messages.
See People.
Automatic syncing
Both settings are in the Voyager window and are off until you turn them on. Neither creates new people or companies: they only update records that are already in Clockwork CRM.
| Setting | What it does when on |
|---|---|
| Sync on view | When you open the LinkedIn page of a person or company that is already in Clockwork CRM, Voyager re-syncs the record as if you had selected Re-sync. The card shows Syncing… while it runs. When you open a one-to-one conversation with someone already in Clockwork CRM, Voyager logs it, and logs it again when more messages have loaded |
| Live sync messages | Every minute, Voyager checks your LinkedIn inbox for conversations with new messages. For one-to-one conversations with people already in the active instance, it saves the messages. Only conversations with activity after you turned the setting on are checked. This runs while your browser is open, without the conversation or LinkedIn being on screen |
The side panel
Voyager also has a side panel, opened from your browser's side panel (the sidebar in Firefox). It shows the same information as the card for the LinkedIn page open in the current tab, with the active instance's subdomain at the top.
| Page open in LinkedIn | What the side panel shows |
|---|---|
| A person or company page | The record's details, tags and latest note, or Not in your CRM, with Add to Clockwork CRM, Add company to Clockwork CRM or Re-sync |
| A conversation | Conversation with and the person's name, and Log conversation |
| Any other page | Open a profile or company to see its Clockwork CRM context. |
| No instance connected | Not connected and Connect Clockwork CRM, which opens the Voyager window |
Privacy
Voyager sends data only to your own Clockwork CRM instance. It reads LinkedIn through your own signed-in LinkedIn session, so it sees only what you can already see. Your Clockwork CRM sign-in and Voyager's settings are stored in your browser.
