Project views

Besides the task list, a project can be viewed as a dashboard, a board and a timeline. Each is in the project's top bar. The board and timeline show the same task lists and tasks as the List view, and use the same Filters. See Task lists and tasks.

Dashboard

Dashboard summarises the project. It updates as tasks and time logs change.

The project dashboard: time totals, time charts, your tasks, cost against value, and task counts

The figures across the top

Figure What it shows
Total Time Logged All the time logged on the project. Below it, the total of the estimates on the project's tasks, or "No time estimated"
Billable Time The billable time logged, in green. Below it, the non-billable time, in red
Time remaining The allocated hours minus the billable time. Non-billable time is not taken off. Below it are the allocated hours and a bar showing how much of the allocation the billable time has used. Hovering over the bar shows the billable time delivered
Due Date The project's due date, in green, or in red once it has passed. Below it, "Due in" a number of days, "Due Today", or "Overdue by" a number of days

When the billable time is more than the allocation, a red warning sign appears next to Time remaining. Hovering over it shows by how much the project has overrun.

The time figures show "-" until time has been logged.

The dashboard sections

Section What it shows
Time Logged A bar chart of the total, billable and non-billable time, in hours
User Time Logs A bar chart of the hours each user on the project has logged
My Tasks Up to five tasks assigned to you that are not complete, with the earliest due date first. Tasks with no due date come last. You can complete them and use their actions here, as in the task list
Cost vs. Value A bar chart of the Project Value, the Project Cost and the Project Profit, which is the value minus the cost
Tasks Counts of tasks In Progress (not complete), Due Today (not complete and due today), Overdue (not complete and due before today) and Completed, the Total, and the project's Status
Time Consuming Tasks The five tasks with the most time logged, as a chart in each task's colour. Hovering over a task shows its total time, and clicking it opens the task
Most recent time logs The ten most recent time logs from any task, with who logged them, the task and when. The tick or cross switches a time log between billable and non-billable

How the cost is worked out

The Project Cost adds up every time log on the project, billable or not. Each time log costs the user's day rate divided by their contracted hours per day, for the length of the time log. A user with no day rate adds nothing to the cost. Day rates and contracted hours are set on each user's Employment tab. See Users.

Status

Status rates the project as Excellent, Good, Average, Poor or Abysmal. It starts at Excellent and drops one step for each of these that is true:

  • there are overdue tasks, and they are a fifth or more of all the tasks
  • there are more tasks in progress than five for each user on the project
  • the tasks due today are more than a tenth of the tasks in progress
  • more than half of the tasks are in progress
  • there is more non-billable time than billable time

Excellent and Good are shown in green, Average in amber, and Poor and Abysmal in red.

Board

Board shows each task list as a column, with its tasks as cards.

The project board: one column per task list

A task list's menu on the board

Each column shows the task list's name and, in brackets, how many open tasks it holds. Its border is the task list's colour.

Column control What it does
+ (Add task) Adds a card at the foot of the column, marked "New Task". Type the task's name and press Enter. If the project's tasks have required properties, Add Task opens the full task form instead
Options Opens the column's menu

The Options menu holds:

Option What it does
Show Completed Cards / Hide Completed Cards Shows or hides the column's completed tasks. Only shown when the column has completed tasks
Mark as Complete Marks the task list as complete, after you confirm. Unavailable while the column has tasks that are not complete
Edit Changes the task list's name, description and colour
Delete Deletes the task list permanently, after you confirm

Each card shows:

  • the task's tags
  • its name. Click it to open the task panel
  • the circle that marks it complete. A task with open subtasks shows how many are left instead, and clicking it opens them
  • for a task with subtasks, a progress bar and the number completed, such as "2/5". Click it to open Subtasks, where you can complete and add subtasks
  • its due date, in red. Hovering over it shows how many days until it is due
  • up to three assignees, with "+2" and so on for the rest. Hovering over the count lists them
  • the task's actions: Edit, Delete, Add tag, Progress, Log Time, Comments, Files and Time Estimate. See Task lists and tasks

Completed tasks are not shown unless Show Completed Cards is chosen, or Show Completed Tasks is on in the filters.

Drag a card to reorder it or to move it to another column, which moves the task to that task list. Drag a column to change the order of the task lists.

Add a new task list at the end of the board holds Add Task List, which adds another column.

Timeline

Timeline shows the tasks against a calendar, one column per day, grouped by task list.

The project timeline: task lists and their tasks against a calendar of days

The days run from the project's start date to one month after its due date. If the due date has passed, they run to one month after today. Each day shows its month and date. Weekends are shaded, and a vertical line marks today.

Each task list is a band in its own colour. The menu next to the list's name holds Add Task, Edit and Delete, and Add Task also sits under the list's tasks.

Each task is a bar that runs from its start date to its due date. A task with no due date runs to the project's due date. The bar shows:

  • the task's colour and name. Click the name to open the task panel
  • the number of subtasks that are not complete, when there are any
  • who the task is assigned to. Click it to change the assignees
  • the task's actions, including its progress as a percentage and its time log count

Changing dates on the timeline

  • Drag a bar sideways to move the task. Its start and due dates both move, and it keeps its length.
  • Drag the left edge of a bar to change the start date, or the right edge to change the due date. Dates change in whole days.
  • Drag a bar up or down to reorder it, or into another task list to move it there.

Adding a task on the timeline

  1. Select Add Task under a task list, or in the list's menu.
  2. Type the task's name and press Enter.

The new task starts the day after the project's start date and is due seven days after it. Drag its bar or edges to set its dates. If the project's tasks have required properties, Add Task opens the full task form instead.

If the project has no task lists, the timeline asks you to create one.
