Users
Administrator Tools → Users lists the people who use Clockwork CRM.
Each user is listed with whether they are an administrator, whether they use two-factor authentication, when they last used Clockwork CRM, and when they were added. Show Archived includes archived users, and the count at the top shows the number of active chargeable users.

Adding a user
Add User opens the user form.
| Field | What it is |
|---|---|
| Username | The user's email address |
| First name and Last name | Set on the user's profile. The user can change them later |
| Is this user an administrator | Gives the user access to Administrator Tools |
When a user is added, they are sent a welcome email with a link to set their password.
Adding a user adds one seat to your monthly subscription. See Subscription information.
The form has four tabs: General (this one), Password & Security, Employment and Working Hours.
Password and security
Password & Security lets an administrator:
- change the user's password
- make the user change their password the next time they use Clockwork CRM
- require the user to use two-factor authentication
Users turn two-factor authentication on themselves from their profile. See Your profile.
Employment
The Employment tab stores the users employment details.
| Field | What it is |
|---|---|
| Day rate | What the user costs the business per day |
| Contracted hours per day | How long the user's paid day is |
| Holiday entitlement | Days of holiday per holiday year |
| Employment start and end | The dates the user is employed for |
The day rate and contracted hours feed the profitability figures on projects. Contracted hours also set how much a day of holiday is worth.
Employment dates make holiday entitlement pro rata: someone joining halfway through the holiday year gets half the days, rounded up to the nearest half day. Leave the dates empty for anyone employed throughout.
Working hours
Working Hours sets the days and times the user works. A day can hold more than one period (e.g. split shifts) and a day with no periods is a non-working day.
Only working days are taken from the user's holiday entitlement, and the calendar shades the user's working time from this pattern. See Holidays and absences.
